B04 – Kick off the Monthly Cycle

This management activity belongs to the Monthly Initiation group. The activities in this group revise the plans and decide whether it’s a good idea to continue the program.

What

When you get the approval in B03, it’s time to have a kickoff meeting for the monthly cycle with the solution ideation team and sponsors and managers of the projects under the program.

Why

The audience for this activity will have already been informed of what’s going to happen in the upcoming month, but you’ll have a kickoff meeting to review it and make sure that everyone is aligned. This is especially important for the sponsors and managers of underlying projects who might become too focused on their project and forget that it’s there to serve a larger program.

Besides exchanging information, this meeting can also be used for team building. Simple, indirect team building will make the communication and coordination of these people easier during the month.

Who

The kickoff meeting is organized and facilitated by the program manager. In large programs where there’s a team to help the program manager, those people will drive most of the tasks in this activity.

How

Bringing people together for an in-person kickoff meeting is ideal. If that’s not possible or easy, a carefully planned and organized online meeting can work.

Review the target Scenario and the role different stakeholders will play in it. Don’t limit the kickoff to boring speeches and a review of the upcoming month, but instead, create a pleasant experience for everyone, as the team-building aspect of this meeting has priority.
